Personal Assistant (Remote or Austin, TX)
Position Overview:
A busy mother of seven (four in boarding school and two young children, ages 2 and 4) is seeking a highly organized and experienced Personal Assistant (PA). This position is open to local candidates in the Austin, TX area or remote candidates who can travel to Austin once or twice a month.
The Personal Assistant will provide comprehensive support, including calendar management, coordination of children's activities, handling school applications, planning gifts and birthdays, organizing afterschool activities, and making travel arrangements for the family. This role will also act as a liaison between domestic staff and the corporate office, ensuring smooth communication and coordination.
Key Responsibilities:
- Manage and maintain calendars, appointments, and schedules for the family.
- Coordinate children's activities, including school applications and extracurricular events.
- Plan and execute birthday parties, gifting, and other special occasions.
- Organize and book travel arrangements, including detailed itineraries for the family.
- Act as a point of contact between the principal and domestic staff, filtering communications and resolving issues as needed.
- Provide administrative support for household and family tasks.
Candidate Profile:
The ideal candidate is a mature, experienced Personal Assistant or Executive Assistant looking to supplement their income. Flexibility, professionalism, and strong organizational skills are essential for success in this role. For candidates who work remotely, they will be required to visit twice a month. All travel and expenses will be covered when visiting our client.
Key Skills and Qualifications:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Exceptional organizational and time-management skills.
- Strong communication skills and the ability to act as a liaison between multiple parties.
- Proficiency in planning travel and managing detailed itineraries.
- Ability to maintain discretion and confidentiality.
- Flexibility to work occasional weekends when the family is traveling.
- Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, and other relevant tools.
- Create and maintain expense reports, credit card reconciliation and managing all on-line orders & returns.
Schedule and Compensation:
- Flexible schedule, Monday through Friday, 20-30 hours per week.
- Hourly rate: $35/hour, with a weekly cap of $1,000.
