A lovely couple in Puerto Rico is seeking a highly motivated, detail-oriented, and proactive House Manager/Butler/Personal Assistant to oversee the operations and administration of their large, luxurious private estate. This 12,000 sq. ft. residence requires an experienced individual to manage the day-to-day activities of the household, ensuring seamless operations and the highest level of service.
The ideal candidate will have a strong background in managing high-end residences, a passion for delivering exceptional service, and the ability to work independently while maintaining discretion and professionalism. The position is primarily focused on administrative duties, including organizing schedules, managing staff, overseeing household budgets, and maintaining the property to the highest standards.
Key Responsibilities:
- Administrative Duties:
- Oversee the household calendar, appointments, and events.
- Manage and organize household documents, inventories, and records.
- Develop and maintain household budgets, ensuring expenses stay within set limits.
- Coordinate with contractors, service providers, and vendors for home maintenance, repairs, and projects.
- Staff Management:
- Supervise and coordinate the day-to-day operations of household and support staff.
- Train, mentor, and ensure staff perform tasks to the highest standard.
- Maintain a harmonious and efficient working environment.
- Event & Travel Coordination:
- Plan, coordinate, and execute events, from intimate gatherings to large-scale parties.
- Organize travel arrangements, including flight bookings, accommodations, and transportation for family members.
- Ensure all details related to travel, including itineraries and packing, are meticulously managed.
- Household Operations:
- Oversee inventory management and ordering of household supplies.
- Ensure the house is properly maintained, including cleanliness, organization, and the safety of the property.
- Act as a liaison between the family and external service providers, ensuring exceptional service at all times.
Required Skills & Qualifications:
- Language Proficiency:
- Fluency in both English and Spanish is required.
- Conversational Italian is desirable.
- Experience & Background:
- Minimum of 5-7 years of experience in a similar role, preferably in managing high-end residences.
- Proven experience in administration, organization, and multi-tasking.
- Prior experience managing staff and overseeing household operations.
- Skills:
- High attention to detail and the ability to manage multiple tasks simultaneously.
- Strong communication skills, both verbal and written.
- Ability to maintain a high level of confidentiality and professionalism.
- Proactive, self-starter with the ability to take initiative and anticipate needs.
