We are seeking an experienced, polished, and highly adaptable House & Personal Assistant to support a wonderful private family in Palm Beach, Florida, as soon as possible.

The socially visible family resides in a beautiful, fully staffed home. This position will primarily support Mrs. while working closely with and supporting the House Manager, Director of Residences, and additional members of the family's support team located nationally.

This is a wonderful opportunity for an experienced Personal Assistant who genuinely enjoys being of service, understands the nuances of working within a private home, and can seamlessly blend into an established uplifting team and environment.

The ideal candidate will be humble, kind, respectful, highly organized, and confident without ego. We are not looking for a strong personality who needs to take over the room. Rather, we are seeking someone who understands when to step forward, when to step back, and how to quietly make the principal’s life easier.

Primary Responsibilities

  • Provide day-to-day personal and administrative support to the principal.
  • Work closely with the House Manager and the Director of Residences to ensure that information, schedules, and household needs are communicated and coordinated appropriately.
  • Coordinate complex domestic and international travel.
  • Understand the nuances of global travel, including passport and visa requirements, entry requirements, transportation, accommodations, and changing travel regulations.
  • Create highly detailed, line-item travel itineraries, including flights, drivers, hotels, reservations, confirmation numbers, contacts, and timing.
  • Assist with packing, unpacking, and travel preparation as needed – directing housekeeping.
  • Ideally have the flexibility to travel with the principal for short-term increments when additional support is required.
  • Maintain calendars, appointments, reminders, and personal commitments.
  • Maintain birthday and anniversary calendars and ensure important dates are appropriately acknowledged.
  • Coordinate birthday, anniversary, holiday, seasonal, and special-occasion gifting.
  • Assist with arrival gifts and thoughtful personal touches for family members and guests.
  • Periodically assist with weekend guest arrivals and departures.
  • Maintain accurate records relating to gifting, travel, purchases, household information, and personal preferences.
  • Confidently use and maintain shared drives, calendars, documents, and digital files.
  • Prior experience with household/estate management software is highly desirable.
  • Share and update information across support teams nationwide (via shared drives), ensuring everyone has access to accurate, up-to-date information.
  • Assist with purchases, returns, deliveries, special orders, and other personal requests.
  • Support the House Manager and DOR with household projects and administrative needs. End-of-week report to the Sr. team members and Mrs.
  • Remain flexible and willing to pivot at a moment's notice as schedules, travel, guests, and priorities change.
  • Assist wherever needed to support the principal and the household's overall success.
  • Assist with credit card reconciliation

The Ideal Candidate

The successful candidate will have prior experience working as a Personal Assistant or in a combined Personal Assistant/Executive Assistant capacity.

We are only considering candidates who have relevant PA or PA/EA-level experience and understand the level of organization, discretion, responsiveness, and confidentiality required when supporting a private Principal.

Candidates with additional experience in PR, marketing, social media, social trends, branding, lifestyle, or wellness are strongly encouraged to apply, provided they also possess the required PA/EA background.

The Principal lives a very healthy lifestyle and portrays a social image that is health- and wellness-driven. Someone who is current, socially aware, and understands lifestyle, wellness, presentation, and current trends could bring tremendous value to the position.

This is a private home with an established team and culture. The right person will understand boundaries, read the room, maintain complete discretion, and approach the position with a genuine service heart.

Primarily a weekday schedule with flexibility required based on the Principal's needs, travel, guests, and household schedule.

Periodic weekend support may be required for guest arrivals, departures, special events, or travel.

Flexibility to travel for short-term increments is highly desirable.

Compensation & Benefits

Salary: $120,000–$140,000 range, DOE

Requirements

  • Prior Personal Assistant or combined PA/EA experience is required.
  • Must be legal to work in the US
  • Must have a clear command of English; additional languages welcomed
  • Experience supporting a private Principal, UHNW family, family office, or high-level executive is strongly preferred.
  • Strong knowledge of domestic and international travel logistics.
  • Ability to create and maintain detailed travel itineraries.
  • Excellent written and verbal communication skills.
  • Strong technology and shared-drive capabilities.
  • Experience with Nines or similar household management software is a plus.
  • Valid driver's license and clean driving record.
  • Ability to pass an extensive background check.
  • Excellent professional references.
  • Flexibility to travel and periodically support weekends when required.
