Position Overview

A wonderful client on Manhattan's Upper East Side is looking to engage an experienced, tech-savvy, and highly organized Personal Assistant to support her personal affairs, household administration, and the day-to-day coordination of her residences.

Our client comes to us through a wonderful referral from a family in the Midwest. Her primary residence is on Manhattan's Upper East Side, with additional homes in Bridgehampton and Antigua in the Caribbean.

The family has enjoyed wonderful longevity with their household staff, many of whom have been with them for 10 years or longer. Their current Personal Assistant, Marie, is returning to university and will assist with the onboarding and transition, ensuring the new PA has the opportunity to learn the family's preferences, systems, and routines.

Our client is looking for someone who is confident administratively, extremely comfortable with technology, and has a natural ability to organize, anticipate needs, and follow through.

What is particularly important is finding someone who is approachable, thoughtful, discreet, and enjoys being part of a team. Someone who is hands-on, willing to lend a hand, and takes genuine pride in supporting a family would be a wonderful fit.

Schedule & Flexibility

The anticipated schedule is:

  • Monday: 9:00 AM – 5:00 PM

  • Tuesday: 10:00 AM – 6:00 PM

  • Wednesday: 11:00 AM – 7:00 PM

There is flexibility with the schedule, and the family is happy to discuss what works best for the right individual.

The position is based in Manhattan and does not require travel. However, someone who would be open to occasionally visiting the Bridgehampton residence to check on the property, or potentially traveling to Antigua following a hurricane to ensure the home and household team have everything they need, would be advantageous.

Responsibilities

Personal & Administrative Support

  • Manage the principal's calendar, appointments, personal commitments, and scheduling.

  • Confidently use Microsoft Office, particularly Excel, Word, and Outlook.

  • Create and maintain Excel spreadsheets, merge documents, prepare invoices, and organize personal and household records.

  • Update household manuals, contact lists for family and friends, and important household information.

  • Maintain birthday, anniversary, holiday, and seasonal gifting lists.

  • Coordinate personal gifts, special purchases, and deliveries.

  • Manage online orders, Amazon returns, refunds, and exchanges in a timely manner.

  • Assist with expense reports, invoice processing, and general household administration.

  • Communicate clearly and professionally via email, text, telephone, and WhatsApp.

  • Work alongside the family's existing professional advisors and service providers when needed.

Travel & Lifestyle Support

  • Coordinate domestic and international travel, including commercial and private aviation.

  • Confidently work with American Express Centurion services and other high-level concierge and travel providers.

  • Prepare detailed travel itineraries, arrange transportation, and manage reservations.

  • Assist with last-minute changes to travel arrangements and personal schedules.

  • Communicate with household staff and service providers at the family's additional residences.

Household & Property Coordination

  • Work closely with the two full-time Housekeepers, Chef, and other household team members.

  • Coordinate vendors, service appointments, household repairs, and general maintenance.

  • Have a good eye for detail and notice when something in the home needs attention, whether that is a stain on a cushion, damage to furniture, or an item requiring professional repair.

  • Contact the appropriate service providers and follow through to ensure matters are addressed.

  • Assist with seasonal preparations, holiday arrangements, and household projects.

  • Coordinate grocery orders, weekly deliveries, dry cleaning, and special household purchases.

  • Run errands throughout Manhattan, including collecting personal items, gifts, and other purchases.

  • Make sure Cricket, the family's much-loved Goldendoodle, has his food, supplies, and anything else he may need.

Staff Administration & Payroll

  • Collect and submit staff payroll information to the family's established payroll company.

  • Maintain records of staff schedules, sick days, and time off.

  • Communicate with the payroll provider to ensure information is accurate and submitted on time.

  • Assist with household staff scheduling and general communication between team members.

The Ideal Candidate

We would love to hear from candidates who have previous experience working as a Personal Assistant, Executive Assistant, or Household/Family Office Assistant, ideally within a private family environment.

The family is particularly interested in someone who offers:

  • Excellent administrative skills, with confidence using Excel, Word, Outlook, and other technology.

  • Strong calendar management, organizational skills, and attention to detail.

  • The ability to manage several responsibilities, prioritize effectively, and follow through without constant direction.

  • Excellent written and verbal communication skills, with fluency in English.

  • Confidence coordinating personal travel, vendors, household services, and day-to-day logistics.

  • A proactive approach to identifying and resolving problems.

  • A polite, professional, approachable demeanor and a willingness to work alongside an established household team.

  • Good judgment, discretion, honesty, and respect for the family's privacy.

  • A genuine appreciation for dogs and comfort being around Cricket.

  • An interest in a long-term position with a family who appreciate and value their staff.

Someone who enjoys being busy, is comfortable taking initiative, and is happy to help wherever needed would be particularly appreciated.

A Little About the Family

Our client has two grown daughters and has recently experienced the loss of her husband.

The family is adjusting to a new chapter, and with the holidays approaching, someone who has a gentle, compassionate, and thoughtful demeanor would be especially welcome.

This is a warm, established household with a wonderful team already in place. The family appreciates honesty, attention to detail, clear communication, and individuals who are respectful of one another.

Longevity is important to our client, and she would love to find someone who enjoys building relationships and becoming a trusted part of the household over time.

Candidate Requirements

  • Previous Personal Assistant, Executive Assistant, or relevant private household experience.

  • Strong Microsoft Office and general technology skills.

  • Outstanding professional references.

  • Must be a U.S. citizen.

  • Maturity, dependability, discretion, and exceptional attention to detail are essential qualities our client is seeking. We are particularly interested in candidates who can demonstrate excellent tenure in previous positions, a consistent employment history, and a genuine commitment to building long-term professional relationships. A proven track record of longevity with previous employers is essential for consideration.

  • Must hold a valid U.S. driver's license with a clean driving record.

  • Must be willing to undergo a comprehensive background check.

  • Comfortable working around dogs.

  • Flexibility to occasionally visit additional family properties would be appreciated but is not required.

Why This Is a Wonderful Opportunity

This is a lovely opportunity for someone who enjoys supporting a private family, appreciates a varied role, and takes pride in making their client's life a little easier.

The family has a history of treating their staff well and maintaining long-standing working relationships. With Marie available to assist with onboarding, the successful candidate will have the benefit of a thoughtful transition and the opportunity to become familiar with the household before taking full responsibility.

We are looking for someone who brings strong administrative abilities, a caring personality, and a genuine willingness to be part of a wonderful household team.
