Compensation: $220,000 – $350,000 + Benefits (DOE)
Overview
A high-profile professional athlete and family are seeking an exceptional Chief of Staff / Estate & Household Manager to oversee multiple luxury residences across the United States. This is a senior-level, hands-on leadership role requiring a highly energetic, detail-oriented professional with strong business acumen.
The ideal candidate will bring a combination of estate management expertise, administrative leadership, financial oversight, and vendor management, ensuring seamless operations across all properties. This individual will serve as a trusted right hand to the principals, maintaining the highest standards of discretion, efficiency, and service.
Key Responsibilities
Estate & Staff Leadership
- Oversee and coordinate all household staff across multiple residences
- Lead hiring, onboarding, training, performance management, and scheduling
- Manage vendors, contracts, and project execution across all properties
- Develop, implement, and maintain SOPs, house manuals, and training systems
- Elevate household standards through leadership, structure, and accountability
Chief of Staff / Administrative Oversight
- Manage complex calendars, travel coordination, and detailed itineraries (experience with luxury travel/concierge services preferred)
- Liaise with aviation teams and flight crew for seamless private travel coordination
- Oversee sensitive documentation including passports, licenses, insurance, and personal records
- Coordinate payroll, bonuses, and HR-related functions for household staff
- Maintain strict discretion with high-profile guests and environments
- Ensure all properties, vehicles, and watercraft are properly insured, permitted, and compliant
- Create and manage emergency protocols, including hurricane and evacuation procedures
- Develop comprehensive family contact systems (medical, emergency, extended family)
- Support lifestyle needs including events, gifting, seasonal setups, and special projects
- Assist with international logistics, including travel, visas, and housing for family members abroad
Financial & Operational Management
- Oversee expense tracking, credit card reconciliation, and budget management
- Provide weekly and quarterly reporting to principals
- Manage staff scheduling systems and operational workflows
- Negotiate vendor contracts and maintain an approved vendor network
- Oversee construction projects, including budgeting, timelines, change orders, and completion
Property Oversight & Maintenance
- Ensure all residences are maintained to the highest luxury standards
- Oversee care of fine materials (marble, Venetian plaster, specialty finishes) and train staff accordingly
- Implement preventative maintenance schedules and proactive property management
- Conduct regular site visits across all residences
- Maintain full oversight of facilities management and capital projects
Candidate Profile
- Proven experience as a Chief of Staff, Estate Manager, or Senior House Manager within UHNW environments
- High-energy, proactive, and exceptionally detail-oriented
- Strong business, administrative, and financial acumen
- Extensive experience in vendor management, contract negotiation, and operations oversight
- Fluency in Spanish and French (required)
- Tech-savvy with experience in smart home systems and modern household technologies
- Demonstrated ability to manage multiple properties and teams simultaneously
- Strong leadership presence with a service-driven, no-ego mindset
- Excellent judgment, discretion, and ability to operate in high-profile environments
- Must have outstanding references and proven long-term tenure
- Must be a U.S. citizen
