Position Overview

A wonderful, highly respected, internationally connected principal relocating to California is seeking an exceptionally experienced, polished, and highly organized Executive Personal Assistant / Executive Assistant to support all aspects of a busy professional, personal, social, and family life.

This is an outstanding opportunity for a career PA/EA who thrives in a fast-paced, highly visible environment and enjoys supporting a principal with extensive international business interests, board commitments, professional relationships, and a busy personal and social calendar.

Our client is warm, approachable, respectful, and an outstanding communicator. The working environment is professional, polite, appreciative, and collaborative. We are looking for someone who shares these values and brings a positive, energetic, and service-oriented approach to their work.

The successful candidate will have exceptional administrative and organizational skills, advanced technological capabilities, and the confidence to manage complex calendars, international travel, business meetings, personal affairs, and the many moving parts of a busy principal's life.

This position requires someone who is driven, focused, resourceful, adaptable, and naturally proactive. Someone who can anticipate needs, manage competing priorities, and respond calmly and professionally to last-minute changes.

Required Experience & Professional Background

We are seeking a senior-level, career Executive Personal Assistant / Executive Assistant, ideally with a minimum of 7–10 years of relevant experience supporting ultra-high-net-worth individuals, prominent business leaders, international principals, or high-profile families.

Candidates must have substantial experience managing complex professional and personal calendars, international travel, business and board meetings, confidential correspondence, family affairs, and detailed logistics.

Candidates who have previously supported international dignitaries, prominent political figures, diplomatic families, senior business leaders, or globally recognized principals are particularly encouraged to apply.

Our client is primarily business-focused, and we are particularly interested in candidates who have worked in sophisticated corporate, international business, diplomatic, or executive environments. The ideal candidate will have the experience and versatility to seamlessly bridge the principal's professional business affairs with personal, family, and domestic support, understanding the different expectations, responsibilities, and levels of discretion required in each environment.

An understanding of both European and American approaches to executive assistance, private service, professional etiquette, and cultural expectations would be a significant advantage.

We are particularly interested in candidates who have worked in sophisticated, internationally connected environments and understand the importance of discretion, diplomacy, protocol, and professional boundaries.

The successful candidate should be culturally aware, well-traveled, adaptable, and confident interacting with individuals from different backgrounds and nationalities.

This is not an entry-level or traditional administrative assistant position. The successful candidate must have the maturity, confidence, judgment, and experience to operate independently, anticipate the principal's needs, manage competing priorities, and represent the principal professionally at the highest level.

Equally important, we are looking for someone who is genuinely hands-on, technologically proficient, energetic, adaptable, and completely without ego.

The ideal candidate will be equally comfortable coordinating a high-level international board meeting, managing complicated travel arrangements, or assisting with the family's personal errands and day-to-day needs.

Key Responsibilities

  • Provide comprehensive executive and personal administrative support to the principal and, as required, extended family members.

  • Manage complex and frequently changing calendars, appointments, business meetings, social engagements, and family commitments.

  • Coordinate detailed business meetings, board meetings, conference calls, and professional engagements, both domestically and internationally.

  • Prepare meeting materials, agendas, correspondence, presentations, and supporting documentation as needed.

  • Manage professional and personal correspondence, ensuring timely communication and follow-up.

  • Coordinate travel arrangements for family members and guests when required.

  • Be available to travel with the principal, occasionally at short notice.

Personal & Family Support

  • Assist with the management and coordination of the principal's personal affairs and family commitments.

  • Assist with planning and coordinating private events, dinners, entertaining, and social engagements.

  • Act as a trusted point of contact, representing the principal with professionalism, warmth, and discretion.

  • Communicate confidently with high-profile individuals, international dignitaries, business leaders, professional advisors, and international contacts.

  • Comfortable working in a highly visible, international environment.

  • Ability to manage confidential information with complete discretion.

  • Flexibility to accommodate changing schedules, occasional evenings, weekends, and short-notice requests.

  • Willingness and ability to travel domestically and internationally as required.

  • Candidates should be based in California or genuinely open to relocating within California.

  • A proven track record of longevity, outstanding professional references, and the ability to pass a comprehensive background screening.
