A Wonderful Opportunity Supporting a Single Principal
A busy, approachable, and respectful single principal in Ponte Vedra Beach is seeking an experienced Personal Assistant with strong basic Executive Assistant skills to help manage his personal life, household logistics, family calendar, and day-to-day administrative needs.
Our client is recently separated and has reached a point where he simply needs a capable person beside him who can bring organization and structure to a very busy life.
This is not an overly formal environment. The principal is looking for someone intelligent, polished, incredibly organized, and proactive who can see what needs to be done and take ownership.
What speaks volumes about our client is the longevity of his existing staff. Members of his household team have been with him for approximately 14 years. He takes care of the people who work for him and presents as respectful, busy, approachable, and appreciative of good support.
The Position
This is primarily a Personal Assistant position with Executive Assistant responsibilities.
The successful candidate will manage the details surrounding the principal's personal life while ensuring his home, schedule, travel, family commitments, documents, bills, and personal administration remain organized and up to date.
The position requires someone who is exceptionally detailed and naturally anticipates what is coming next rather than waiting to be asked.
Personal & Executive Support
- Complex calendar management and scheduling
- Coordinating appointments, meetings, and personal commitments
- Domestic and international travel planning
- Preparing detailed travel itineraries and logistics
- Booking flights, hotels, transportation, and related reservations
- Preparing and organizing documents for DocuSign
- Bill payment and personal administrative support
- Credit card reconciliation and expense tracking
- Maintaining personal records and important documentation
- Monitoring passports, licenses, insurance policies, renewals, and expiration dates
- Maintaining organized digital and physical files
- Managing correspondence and following up on outstanding items
- Ensuring deadlines, payments, renewals, and personal commitments do not fall through the cracks
Family Support
Our client has four children. One child is currently attending college in Dallas, two are away at boarding school, and his 10-year-old son lives locally and spends approximately two weeks each month with him.
When his younger son is in residence, the Personal Assistant will help coordinate the additional logistics surrounding his schedule.
Responsibilities may include:
- Coordinating school and activity schedules
- Assisting with school pick-up and drop-off when necessary
- Managing appointments and extracurricular activities
- Communicating schedule changes and logistics
- Ensuring the home is appropriately prepared when the children are in residence
- Assisting with travel arrangements for the older children
- Maintaining awareness of school calendars, holidays, and family commitments
This is not a nanny position. The responsibility is primarily logistical and organizational, ensuring the principal has the support necessary to successfully manage his family commitments.
Household Oversight
The principal employs a full-time Housekeeper, so this is not a hands-on housekeeping position.
The Personal Assistant will, however, help ensure the daily functionality of the Ponte Vedra residence.
Responsibilities will include:
- Communicating with the Housekeeper regarding household needs
- Coordinating service vendors and contractors
- Scheduling repairs and maintenance
- Following up to ensure work is completed
- Maintaining household-related records and invoices
- Ensuring the home remains organized and appropriately stocked
- Coordinating grocery and household deliveries
- Arranging light meal preparation
- Bringing in a Chef when appropriate
- Coordinating prepared food or restaurant deliveries
- Ensuring the household is prepared for the principal, his children, and occasional guests
The Ideal Candidate
The right individual will be incredibly organized, detailed, calm, and capable.
This role would suit someone who genuinely enjoys taking a busy person's life and making it easier.
The ideal candidate will have:
- Prior Personal Assistant, Executive Assistant, or combined PA/EA experience
- Excellent calendar management skills
- Strong travel planning and itinerary experience
- Confidence handling bills, expenses, and credit card reconciliation
- Experience preparing and managing electronic documents and DocuSign
- Strong computer and technology skills
- Excellent written and verbal communication
- The ability to manage multiple priorities simultaneously
- A proactive mindset and excellent follow-through
- Strong organizational skills and attention to detail
- The ability to communicate confidently with vendors, household staff, schools, and professional contacts
- A valid driver's license and excellent driving record
- Complete discretion and respect for the principal's privacy
- Flexibility when family or travel schedules change
Most importantly, the principal needs someone who is dependable, trustworthy, proactive, and genuinely helpful—someone who will take ownership of the details and make his personal life considerably easier to manage.
Schedule
The general schedule will be Monday through Friday, approximately 9:00 AM–6:00 PM, with flexibility required depending upon the principal's schedule, travel, and family needs.
This is a full-time position, and the successful candidate should understand that private household schedules occasionally require flexibility outside traditional business hours.
Compensation & Benefits
$80,000–$120,000 per year, depending upon experience
The principal is open to considering strong candidates throughout the state of Florida.
For an exceptional candidate who needs to relocate to the Ponte Vedra/Jacksonville area, a modest relocation allowance may be considered.
A medical stipend can also be incorporated into the compensation package for a highly qualified candidate.
