POSITION OVERVIEW
A wonderful private client based in Inman Park, Atlanta is seeking an experienced, highly organized, and proactive Personal Assistant / Executive Assistant to provide comprehensive administrative, personal, and lifestyle support.
Our client is a successful professional actor, small-business owner, and devoted father of two young daughters, ages four and six. He is a fun, engaging, positive, and personable individual who maintains a busy professional and personal life. As he enters an exciting new chapter, he is looking for an exceptional PA/EA who can help bring organization, structure, and consistency to his evolving lifestyle.
With a demanding professional schedule, business responsibilities, travel, household needs, and family commitments, the ideal candidate will be someone who genuinely enjoys making another person's life easier. A positive “can-do” approach is essential. Our client needs someone who can recognize what needs attention, take ownership, find solutions, and follow through without requiring constant direction.
Personality and chemistry will be important. The successful candidate should be upbeat, engaging, adaptable, approachable, and confident while maintaining excellent professional boundaries and complete discretion.
This is an excellent opportunity for an experienced PA/EA who thrives in a fast-paced, dynamic environment and enjoys managing the many moving parts of a busy individual's professional, personal, and family life.
The initial commitment is approximately two to three months, with the potential to transition into a permanent full-time position for an outstanding candidate.
EXECUTIVE & ADMINISTRATIVE SUPPORT
Responsibilities will include:
- Comprehensive calendar and schedule management
- Coordinating appointments, meetings, auditions, professional commitments, and personal engagements
- Managing correspondence and assisting with day-to-day communications
- Drafting and proofreading emails and other written correspondence
- Maintaining organized files, records, contacts, and administrative systems
- Providing administrative assistance with the principal's small-business interests
- Tracking deadlines, appointments, commitments, and outstanding action items
- Coordinating domestic and international travel, including flights, accommodations, transportation, itineraries, and logistics
- Preparing detailed travel schedules and ensuring the principal is fully prepared prior to departure
- Managing reservations, appointments, and personal bookings
- Assisting with expenses, receipts, invoices, and general administrative organization
- Liaising professionally with business contacts, representatives, and other professional relationships
PERSONAL & LIFESTYLE SUPPORT
This position will extend beyond traditional administrative responsibilities. The PA/EA should be comfortable stepping in wherever appropriate to keep the principal's life organized and running smoothly.
Responsibilities may include:
- Organizing personal belongings and clothing
- Assisting with packing and unpacking for professional and personal travel
- Coordinating clothing requirements for travel, auditions, meetings, events, and other engagements
- Working with and providing direction to the household's housekeeper
- Managing household vendors, maintenance providers, deliveries, and service appointments
- Following through on household projects and ensuring outstanding items are completed
- Running errands and coordinating personal purchases as needed
- Researching and arranging services, reservations, appointments, and other lifestyle needs
- Anticipating the principal's needs and proactively addressing issues
- Creating practical systems that bring greater organization and efficiency to everyday life
The ideal candidate will be someone who sees an unfinished task and naturally thinks, “I'll take care of it.”
FAMILY & CHILDREN'S SCHEDULE COORDINATION
Our client is a devoted father of two young daughters, ages four and six. While this is not a nanny position, the PA/EA will play an important role in helping coordinate the children's schedules and related logistics.
Responsibilities may include:
- Maintaining awareness of school, activity, appointment, and extracurricular schedules
- Coordinating calendars and logistics relating to the children
- Professionally and diplomatically assisting with scheduling communication involving the children's mother
- Ensuring important dates, activities, appointments, and commitments are accurately reflected on the principal's calendar
- Helping the principal remain organized around his responsibilities as a father while balancing his professional schedule
Excellent judgment, maturity, diplomacy, and communication skills will be essential.
ENTERTAINMENT INDUSTRY SUPPORT
Previous entertainment-industry experience is not required, but would be highly advantageous.
Candidates who have previously supported an actor, producer, executive, or entertainment professional may be particularly well suited.
Experience or familiarity with the following would be considered a plus:
- Audition scheduling and preparation
- Scripts and dialogue
- Reading opposite an actor during audition preparation
- Production schedules and call times
- Entertainment-industry confidentiality
- Coordinating travel and logistics associated with filming and production

- Prior Personal Assistant and/or Executive Assistant experience

- Strong writing, proofreading, and correspondence abilities
- Excellent travel-planning and coordination skills
- Strong technology and administrative capabilities
- Experience coordinating vendors and household personnel
- Exceptional attention to detail and follow-through
- The ability to manage numerous moving parts simultaneously
- Strong judgment and the ability to prioritize effectively
- A proactive and solutions-oriented mentality
- Flexibility and comfort working within a fast-paced environment
- The confidence to take initiative without overstepping
- Professionalism when communicating with family members, business associates, household staff, and outside vendors
- Complete discretion and respect for confidentiality and privacy
