Compensation: $130,000–$160,000 annually, depending on experience + benefits
Overview:
A prominent and fast-paced family office based in Palm Beaches is seeking a highly skilled and experienced Executive Assistant to support the personal and professional affairs of the principals. This is an excellent opportunity for a polished, proactive, and detail-oriented candidate with a strong corporate executive support background, preferably within private service or high-net-worth environments.
Key Responsibilities:
Executive & Administrative Support:
- Manage complex calendars, scheduling, and appointments for the principals. Multiple calendar management experience.
- Corporate charter - Planes, Yachts and car services.
- Provide administrative assistance such as writing/editing emails, drafting memos and proofread speeches, and preparing correspondence on behalf of the principals.
- Maintain comprehensive and accurate records, documents, and files.
- Prior experience working with security teams/secret service.
- Filter and prioritize communications, visitors, and calls on behalf of the principals.
- Minute notes, summary of meetings and proof-reading highlight area of attention
- Prior work as a paralegal or notary - highly desirable
- Plan and book detailed travel itineraries for both personal and business trips, including flights, accommodations, transportation, and on-the-ground logistics.
- Accommodate and plan detailed itineraries for Business leaders. Point of contact.
- Organize private events, social engagements, and meetings—including scheduling, catering, invitations, and on-site coordination.
- Oversee daily household operations, communicating with domestic staff.
- Schedule maintenance, oversee repairs, and ensure smooth operation of all estate-related activities.
- Assist with budgeting, bill payment, expense tracking, and light financial reporting.
- Perform minor accounting duties and support business-related administrative tasks.
- Handle a wide range of personal errands and requests, ensuring a seamless lifestyle for the principals and their family.
Confidentiality & Professionalism:
- Handle all sensitive matters with discretion, integrity, and professionalism.
- Represent the principals with grace, diplomacy, and a service-oriented mindset.
Qualifications:
- Bachelor’s degree required; higher education preferred.
- Minimum of 5 years of experience in a senior Executive Assistant or Personal Assistant role.
- Experience working with high-net-worth individuals, family offices, or luxury environments strongly preferred.
- Highly organized with the ability to manage multiple priorities under pressure.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and the ability to work with discretion, tact, and professionalism.
- Technically savvy with proficiency in Microsoft Office Suite, Google Workspace, and household management software.
- Knowledge of the Palm Beach/Jupiter area and local vendors is a plus.
- Flexible schedule with the ability to work occasional evenings or weekends as needed.

Compensation & Benefits:
- Competitive salary ranging from $130,000 to $160,000, based on experience.
