Position Overview:

We are seeking a highly skilled and organized Corporate Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will have experience working in fast-paced corporate environments, supporting C-suite executives. As a Corporate Executive Assistant, you will play a crucial role in ensuring the smooth functioning of the executive office, managing calendars, coordinating travel arrangements, and handling confidential information with utmost discretion. You will serve as a trusted partner to our executives, enabling them to focus on strategic initiatives and effectively manage their responsibilities.

Responsibilities:

  • Manage complex calendars, including scheduling and coordinating appointments, meetings, and conference calls for the executive team. Handle all logistical arrangements, such as room bookings, equipment setup, and catering.
  • Arrange and coordinate domestic and international travel itineraries for executives, including flights, accommodation, ground transportation, and visa processing. Anticipate potential conflicts and proactively provide alternative solutions.
  • Prepare, edit, and proofread correspondence, reports, presentations, and other documents for executive-level review. Ensure accuracy, clarity, and adherence to company guidelines.
  • Attend meetings and take accurate notes, capturing key discussion points, action items, and decisions. Prepare and distribute meeting agendas and supporting materials in advance.
  • Act as a central point of contact for internal and external stakeholders, screening calls, emails, and visitors. Provide professional and courteous assistance, prioritizing requests and redirecting inquiries as appropriate.
  • Handle confidential and sensitive information with utmost discretion, maintaining data security and complying with privacy regulations. Safeguard documents, records, and electronic files appropriately.
  • Assist in budget management, expense tracking, and reimbursement processing for the executive team. Maintain accurate records and prepare timely reports as required.
  • Collaborate with other administrative staff to ensure seamless coordination and support across the organization. Foster positive working relationships and effective communication channels.
  • Conduct research, gather data, and prepare comprehensive reports as requested. Stay updated on industry trends, organizational developments, and other relevant information to provide valuable insights.
  • Proactively identify opportunities to streamline administrative processes, enhance efficiency, and implement best practices within the executive office.
  • Handle ad hoc projects and assignments as directed by the executive team, demonstrating flexibility and adaptability in a dynamic work environment.

Qualifications and Skills:

  • Bachelor's degree in a relevant field or equivalent experience.
  • 5 years of experience as an executive assistant or in a similar role, preferably supporting domestic executives.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail, ensuring accuracy and quality in all work deliverables.
  • Exceptional verbal and written communication skills, with the ability to interact confidently with stakeholders at all levels.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and professionalism when handling confidential information and sensitive matters.
  • Proactive and resourceful, demonstrating the ability to anticipate needs and take initiative.
  • Strong problem-solving skills, with the ability to identify and resolve issues efficiently.
  • Ability to work independently and as part of a team, adapting to changing priorities and deadlines.
  • Flexibility to work outside of regular business hours as needed.

Salary $100k - $130k D.O.E.
