Executive Assistant/Personal Assistant - CLOSED
Wonderful informal family of 5 with multiple residences nationally are looking for a highly experienced EA/PA.
The role involves some travel nationally with the family who is San Francisco-based. They have properties in San Francisco, Seattle, Aspen, Tahoe, and Stinson Beach. Having the flexibility to travel with the family when needed would be part of the requirements.
The ideal candidate will have tenure in previous roles, be confident, represent the family at times, be highly organized, polished, and educated. The family is informal, but they are very busy entrepreneurs and need a practical-minded, fast thinker who can make decisions without being micromanaged. Someone with a service mind which anticipates versus reacts would be the ideal candidate.
The role reports to the Director of Residences who is highly skilled, practical, a get-it-done, but get-it-right personality.
Some of the responsibilities include:
- Ability to travel domestically
- Heavy calendar management
- Manage children’s calendars, school, birthdays, gifting, travel arrangements to include necessary travel documentation
- Ensure that the families dogs’ appointments are made/follow-through
- Assist with all aspects of vendor management to include construction, interior designers, outside support staff, and full-time support staff at three of the properties
- Highly organized, comfortable using Microsoft Office Suite, I- Cal, troubleshooting IT, Tech-savvy
- End of day and reports and monthly project updates
- Manage e-mails and priorities
- Track incoming and outgoing packages, ensuring that the item was received/returned
- Maintain contact lists and update
- Clear communication, via text, e-mail, taking minute notes
- Inventory control
- Assist with the set-up of SOP’s/ house manual/vendor lists
- Must be able to maintain respectful professional relationships with staff and vendors, humble, respectful, no ego, a team player
- Take ownership of a task, and ensure that the job is completed.
- Maintain vehicle collection records, permits, and maintenance records
- Maintain watercraft details, permits, and records
Schedule: Monday through Friday, 9 am to 5 pm (flexibility to travel at times)
Benefits
- Full Benefits Package/Salary range $80,000 to $100,000/Standard P/T/O (Local candidates preferred)
- Must pass a detailed criminal background check, drug testing and hold a clean current driving license
- Bachelor’s Degree at a minimum required
