Executive Assistant/House Manager – Puerto Rico

Job Overview:
An exceptional family in Puerto Rico is seeking a detail-oriented and proactive Executive Assistant/House Manager to oversee two properties within a gated hotel community. This role is open to relocation, and candidates with a command of Spanish or a meaningful connection to the island are strongly preferred. The family are quiet, reserved and private. 

Key Responsibilities:

  • Prepare and serve informal breakfast, make coffee, and set a welcoming table when hosting guests.
  • Manage inventories to ensure items are stocked, organized, and up to date, with reserves always available.
  • Collaborate with a long-term senior housekeeper, support household operations.
  • Assist with laundry, dry cleaning, and wardrobe organization across both residences - packing and unpacking.
  • Oversee pantry and supply management for both properties, traveling ahead of the principal at times preparing a hotel or rental for his arrival ensuring all Wi-Fi and special requests are taken care of prior to his arrival.
  • Maintain a meticulously organized and sanitized home, paying attention to details like sanitizing phones, TV remotes, and elevator buttons.
  • Offer flexibility in scheduling to accommodate the family’s needs.
  • Have excellent bookkeeping abilities, tech-savvy, manage personal and business calendars.
  • Co-ordinate detailed travel logistics and itineraries. 
  • Maintain house manuals, maintain and update SOP's.
  • Clear understanding of personal space between the principal and service staff. 
  • Ideally have connections on the island or have a connection to the island.
  • Must understand island time, work ethic and navigate and manage construction projects. 
  • Should be able to maintain financials, follow Act 60, quarterly reports, credit card reconciliation. 

Qualifications:

  • Strong command of both English and Spanish (or a basic understanding with a willingness to improve).
  • Ability to set a beautiful table and provide basic cooking skills.
  • Excellent verifiable references.
  • Positive, team-oriented attitude with no ego or pretension.
  • Highly organized, timely, and detail oriented.
  • Comfortable around dogs and children.
  • Must be a collaborative team player and able to drive.
  • Open to Chief Stew candidates who have strong organizational skills, management abilities 

Schedule:

  • Monday through Friday with flexibility required.

Compensation and Benefits:

  • Competitive salary: $110,000–$140,000 with a housing stipend.
  • Medical contribution provided.
  • Relocation assistance offered.
