Compensation: $150,000–$180,000 DOE, full benefits package, year-end bonus
A dynamic and highly accomplished single mother is seeking a seasoned Executive Assistant with strong Personal Assistant capabilities to manage both her professional and personal life. This is a multifaceted role that demands exceptional organizational skills, discretion, and the ability to operate in high-pressure environments. The ideal candidate will be proactive, resourceful, and experienced in working with Ultra-High-Net-Worth (UHNW) individuals.
Primary Responsibilities
Executive Support
- Act as a trusted partner and confidant, attending meetings with the principal, taking detailed notes, and proactively following up on action items.
- Collaborate with international brands and legal teams on negotiations related to branding and licensing of the family name and image.
- Process ideas, offer insights, and provide a sounding board for business and personal decisions.
- Manage complex schedules, including business events, calls, and appointments, ensuring seamless day-to-day operations.
- Serve as the principal’s right-hand, taking ownership of tasks with a confident, "I’ve got this" approach.
Travel Coordination
- Organize and manage national and international travel, including passports, visas, travel permits, detailed itineraries, and logistics for the principal and her children.
- Coordinate with concierge services and travel support, ensuring all arrangements are confirmed and run smoothly.
- Occasionally travel in advance to prepare locations, confirming accommodations, reservations, and other requirements.
Personal and Family Assistance
- Manage school applications, medical appointments, and records for four children, ranging from elementary age to teenagers preparing for college.
- Assist with the children’s schedules, extracurricular activities, and travel needs.
- Oversee special occasions such as birthdays and anniversaries, including event planning, gifting, and coordination.
Household and Vendor Management
- Supervise domestic staff, including housekeepers, across multiple residences.
- Coordinate vendors, contractors, and service providers to ensure the smooth operation of all properties.
- Handle family events and gatherings with a keen eye for detail and a personal touch.
Ideal Candidate Profile
- Experience: Minimum of 5–7 years in a similar role, supporting UHNW individuals, with a demonstrated ability to handle both executive and personal assistant responsibilities.
- Skills: Exceptional organizational and communication skills, with a strong ability to anticipate needs and problem-solve.
- Personality: Warm, approachable, and professional, with a high degree of emotional intelligence and common sense. Must be discreet and trustworthy.
- Travel Savvy: Well-traveled and familiar with the nuances of international and domestic travel for UHNW families.
- Local Knowledge: Deep understanding of Los Angeles culture, including knowledge of top restaurants, stylists, and other key resources.
- Additional Skills: Paralegal experience is highly desirable but not required.
- Lifestyle Knowledge: Familiarity with UHNW lifestyles, security protocols, and maintaining privacy.
