A returning client, the CFO of a national corporation, is seeking a part-time or full-time Executive Assistant who can work either in-person or remotely. This role requires flexibility, as the CFO manages teams across West Coast and Hawaii time zones. The ideal candidate will be highly organized, detail-oriented, and capable of supporting a busy executive while occasionally assisting the company's founder.
Position Details
- Salary: $120,000 - $150,000 (commensurate with experience)
- Schedule: Monday – Friday
- Hours: Standard office hours are 8 AM to 5 PM, with the flexibility to extend to 5:30 or 6 PM as needed, including occasional weekend work.
- Work Environment: This role can be either in-office or remote, with occasional in-person meetings if located near Fort Myers or Cape Coral.

Job Summary
A dynamic CFO of a multi-brand national company is seeking a highly skilled Executive Assistant to provide comprehensive support. The candidate will primarily assist the CFO but may also be called upon to support the founder during weekends. The ideal candidate has previous C-suite experience, preferably in finance, and is capable of anticipating the needs of the executive and proactively managing tasks and potential issues.
The CFO oversees a national team with a hands-on approach and collaborates closely with the company's founder, who operates in a 24/7 capacity.
Key Responsibilities
- Calendar Management: Coordinate complex schedules, serve as the primary point of contact, manage the flow of information, and adjust meetings and appointments based on both business and personal priorities.
- Document Management: Proofread contracts, highlight critical areas for review, take meeting minutes, and occasionally represent the CFO in meetings.
- Travel Planning: Arrange all aspects of domestic and international travel, including meetings, visas, flights, hotels, car rentals, and venue reservations. Prepare detailed itineraries and provide ongoing support during travel.
- Expense Management: Process and track expense reports, reconcile credit card statements, and maintain accurate financial records in accordance with T&E policies.
- Client Communication: Schedule calls and meetings with investors and key personnel, both internally and externally.
- Team Coordination: Provide administrative support as needed, manage and direct other administrative staff, and take on ad-hoc projects as assigned.
- Errands: Perform occasional personal or business-related errands as necessary.
Qualifications
- 5-8 years of experience as an Executive Assistant or in a senior administrative role, preferably in finance.
- Bachelor’s degree required.
- Proven ability to manage multiple priorities and deadlines.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Strong written and verbal communication skills.
- Experience in processing expenses and managing domestic and international travel.
- Excellent organizational skills and a high level of attention to detail.
- Flexibility to work in different time zones, with the ability to adjust hours as needed.
- 24/7 mentality and ability to work extended hours when necessary.
- Must be a U.S. citizen or have valid work authorization in the U.S.
