A private family in the Palm Beaches / PGA area is seeking an experienced, highly organized, and hands-on House Manager to oversee the daily operations, presentation, organization, and seasonal readiness of their private residence.
The property encompasses approximately 8,000 sq. ft. of residential living space, including a guest cottage and separate gym space.
The employers are senior principals who are primarily in residence during the Palm Beach season. The successful candidate will play an important role in ensuring their daily needs are anticipated and that the residence operates seamlessly, comfortably, and to the highest standard while they are in residence.
This position is ideal for an experienced private-service professional who understands the standards and discretion required within a private household and takes pride in creating structure, organization, and consistency.
The successful candidate will be tech-savvy, exceptionally detail-oriented, proactive, and hands-on, with the ability to work collaboratively with other household team members, trusted vendors, and the family office.
This is not simply an administrative management position. The family is seeking someone who will lead by example, remain actively involved in the daily operation of the residence, and willingly step in wherever needed.
Household Management & Operations
- Oversee the daily operation, organization, presentation, and readiness of the residence.
- Anticipate the principals' daily needs and ensure the household is prepared before requests need to be made.
- Conduct detailed property walkthroughs and proactively identify maintenance, housekeeping, organizational, and operational needs.
- Work collaboratively with existing household staff and lead by example.
- Coordinate vendors, contractors, maintenance professionals, and specialty service providers.
- Maintain clear and professional communication with the family office regarding household operations, projects, expenses, and property needs.
- Develop and maintain strong working relationships with trusted local vendors and resources throughout the Palm Beaches.
- Monitor household systems, including HVAC, plumbing, electrical, security, A/V, appliances, IT, and other residential systems.
- Maintain household inventories, warranties, service records, vendor information, preventative maintenance schedules, and important property documentation.
- Review invoices and maintain organized records for submission to the family office.
- Manage household projects from initiation through completion and provide appropriate updates.
- Proactively identify and resolve issues rather than waiting for direction.
SOPs, Household Manuals & Seasonal Procedures
A significant component of this position will be creating and maintaining structure, consistency, and detailed operating procedures throughout the residence.
The House Manager should have experience developing and maintaining:
- Comprehensive household manuals.
- Standard Operating Procedures (SOPs).
- Detailed vendor and contractor directories.
- Household inventories and appropriate par levels.
- Preventative maintenance schedules.
- Appliance, equipment, and warranty records.
- Security, key, access, and property information.
- Guest preparation and arrival procedures.
- Principal arrival and departure procedures.
- Detailed residence opening and closing checklists.
- Comprehensive seasonal opening and closing procedures.
- Hurricane and severe-weather preparation protocols.
- Procedures for preparing the residence for extended periods of vacancy.
The goal is to establish detailed systems that allow the residence to operate consistently and efficiently throughout the year, particularly as the household transitions between season and off-season.
Technology & Organization
The successful candidate should be highly tech-savvy and comfortable utilizing modern technology to organize and streamline household operations.
Responsibilities may include:
- Maintaining digital household manuals and SOPs.
- Managing shared calendars, schedules, inventories, and maintenance reminders.
- Creating spreadsheets, checklists, project trackers, and organizational systems.
- Maintaining digital vendor records, receipts, invoices, warranties, and household documentation.
- Coordinating with IT, security, A/V, and smart-home professionals.
- Maintaining organized digital files that can be easily accessed by appropriate household and family office personnel.
- Communicating efficiently with the principals, family office, vendors, and other household team members.
Residence Presentation & Hands-On Support
The House Manager must be comfortable remaining hands-on and leading by example.
Responsibilities may include:
- Ensuring the residence is consistently maintained to an exceptional standard.
- Working alongside housekeeping and other team members whenever needed.
- Overseeing closets, wardrobes, linens, storage areas, household supplies, and inventories.
- Preparing the residence in advance of the principals' seasonal arrival.
- Ensuring guest accommodations, amenities, groceries, flowers, beverages, and household necessities are properly prepared.
- Coordinating seasonal deep cleaning and organizational projects.
- Assisting with packing, unpacking, wardrobe preparation, steaming, pressing, and personal belongings when required.
- Supporting entertaining, dinners, events, and household hospitality.
- Handling errands, personal shopping, returns, reservations, and concierge-style requests.
The successful candidate should understand that no reasonable household task is beneath them and should be equally comfortable directing a project or personally stepping in to complete one.
Personal & Lifestyle Support
The position will also involve thoughtful and discreet personal support for the principals.
The House Manager should be comfortable assisting with wardrobe and personal preparation for dinners, galas, social engagements, and special events. This may include preparing clothing and accessories, coordinating dry cleaning or alterations, organizing personal belongings, and assisting Mrs. with personal items and preparation when requested.
The candidate should be comfortable coordinating with hairstylists, beauty professionals, tailors, florists, drivers, and other personal service providers.
This aspect of the position requires excellent judgment and intuition—someone who understands when to step forward and assist and when to provide the principals with privacy.
Seasonal Schedule & Flexibility
The principals are primarily in residence during the Palm Beach season, and flexibility during this period is an important requirement of the position.
The House Manager should understand the seasonal rhythm of a Palm Beach household and recognize that the principals' needs take priority while they are in residence.
- Full-time, live-out position.
- Primarily Monday through Friday during the off-season.
- Approximately 40–50 hours per week depending upon the household's needs.
- During season, flexibility with working days and hours will be required.
- Must be willing to work occasional weekends and holidays while the principals are in residence.
- Additional flexibility may be necessary during entertaining, family visits, special events, and holidays.
- Household schedules will be coordinated amongst the team to ensure appropriate coverage and reasonable time off.
- The off-season provides greater opportunity for deep organization, household projects, inventories, preventative maintenance, and preparation for the upcoming season.
