Our client in Old Westbury, NY, is seeking an Estate Manager for their fully staffed, 20-acre estate.
There are two smaller properties that the E.M. will be responsible for managing, one in Palm Beach, FL, and another in Los Angeles, CA. This will amount to only 5%-10% of the worker's responsibility. The primary focus will be on the residence in Old Westbury.
Responsibilities include, but are not limited to:
- Manager vendors and staff
- Schedule regular, routine maintenance on the home, property, and vehicles
- Coordinate schedules of vendors, staff, etc.
- Create weekly, monthly, and quarterly reports
- Create and implement household manuals
- Create and enforce emergency disaster plans and knowledge of hurricane preparedness.
- Plan events and dinner parties, support in setting up and breakdown
- Negotiate contracts
- Secure the estate
- Support the principal with travel preparations- reservations, packing, unpacking, etc.
- Attention to detail of the home's interior and exterior
- Must be a hands-on manager and support staff as needed
- Knowledge of repair and maintenance (HVAC, plumbing, troubleshooting electronics, etc.)
- Must be tech-savvy, and knowledgeable of Apple, Mac, and P.C. devices
- Must welcome handling all responsibilities of an Estate Manager.
Property Management: Take full responsibility for all estate care and maintenance aspects. Oversee all assets and services to keep the property up to five-star standard year-round. General repair work as needed or call upon the list of approved service vendors. Hands-on experience with general maintenance and repair a plus: plumbing, carpentry, use of heavy tools like chain saws, light electrical, etc.
Grounds Maintenance: Landscaping, flower plantings, lawn maintenance, tree pruning, general clean up, water feature maintenance (pool, hot tub, koi pond), garbage/recycling, tree removal, fence repairs, solar panel maintenance, etc.
Management of Existing Staff: Cooking, cleaning, laundry, grocery shopping, stocking amenities, interior plant care, and preparing the house for the arrival of estate owners and guests. Responsible for house-related purchases and cash transactions for incidentals.
Vendor Management: Negotiate and manage bids for necessary maintenance work such as window replacement, painting, schedule window washing, repairs, etc. Request, review, and compare proposals. Oversee and manage any vendors carrying out work on-site. Review and submit vendor invoices for processing. Schedule, supervise, and manage maintenance schedules for household vendors: HVAC, electrical, plumbing, generators, well systems, septic pumping, propane deliveries, etc.
Security: Ensure all access to the property is in working order; electronic gates, video cameras, exterior doors, windows, alarm system, etc.
Driving: Provide pick up and drop off at airports and drive one or both owners to appointments, errands, or activities as needed. This also includes care of owners' vehicles, washing them, and driving to a dealership for routine maintenance and repair.
An existing property administrator will also support this position. The ability to communicate effectively, collaborate with a team, delegate tasks, and give direction is necessary.
- Salary: $130,000 - $180,000 D.O.E.

- Schedule: Monday through Friday, 50 hours per week, with flexibility for weekend support
- Must possess a valid driver's license
- Must pass a full criminal background check
- Must have a minimum of 10 years of experience in domestic support
- Must have experience in a supervisory role
