A wonderful, highly active senior couple is seeking an experienced and polished Estate Manager / Personal Lifestyle Manager to provide comprehensive oversight of their personal lives and multi-property operations.

The principals reside in a beautifully renovated 9,000 sq. ft. historic landmark home in Ohio and maintain additional residences in Massachusetts; Utah; and Florida. All properties are fully staffed and maintained to a pristine, guest-ready standard. There are managers in place at each location. All managers and support staff would report to the Estate Manager/Lifestyle Manager. Our clients are of Irish-American background; candidates with cultural alignment are encouraged to apply.
This role is ideal for a highly organized, discreet, administratively savvy/tech-savvy and emotionally intelligent professional who can act as a trusted gatekeeper and liaison—streamlining communication, coordinating across multiple households, and ensuring the principals’ lives run seamlessly with minimal involvement on their part.

The principals are a high-functioning, energetic, and adventurous couple who enjoy travel, family time, and a well-orchestrated lifestyle. They are warm, gracious, and deeply family-oriented, with three sons and ten grandchildren.

They enjoy entertaining and spending time with their family. Candidates should be able to assist with season gifting, writing 700 Christmas Cards – tracking names, addresses etc
Key Responsibilities
Lifestyle & Personal Management
- Oversee the principals’ day-to-day personal and lifestyle needs
- Manage complex calendars, appointments, and scheduling across multiple time zones
- Create detailed, thoughtful travel itineraries for the principals and extended family
- Coordinate gifting lists for special occasions/holidays/birthdays/anniversaries, and seasonal décor
- Provide reminders and proactive planning support for travel, when entertaining – manage invites and RSVP
- Maintain detailed inventories working with the management team at each home
- Manage an extensive car collection, updates to watercraft, maintain service records, insurances, licencing and track any movement creating specific SOP’s
Estate & Staff Coordination
- Serve as the primary point of contact across all residences
- Oversee and coordinate existing property managers and household staff
- Act as a “filter,” communicating only essential and relevant information to the principals
- Ensure consistency in service standards across all homes
- Assist with vendor sourcing, screening, and coordination
Financial & Administrative Oversight
- Manage invoices, expense tracking, and bill pay – submission to established Family Office
- Maintain organized records and reporting systems
Travel & Seasonal Support
- Travel with or ahead of the principals as needed to prepare residences
- Spend approximately 3–4 months annually in Gulf Stream, Florida
- Oversee Florida residence operations during seasonal stays (private housing provided)
Candidate Profile
- Based in Ohio or surrounding states (required)
- Minimum 7–10+ years of experience in estate management or similar UHNW environments
- Exceptional organizational and communication skills
- Proven ability to manage multiple properties and teams simultaneously
- High level of discretion, professionalism, and emotional intelligence
- Tech-savvy with strong administrative capabilities
- Ability to create elevated, thoughtful travel itineraries and experiences
- Calm, polished, and service-oriented demeanor
Additional Details
- This is a live-out position while in Ohio
- Private housing provided during Florida residency 3-4 months of the year. The family will accomadate travel back and forth to Ohio during their time in Florida
- Open to candidates with a significant other or a pet (Florida residence is separate and private)
- Travel required throughout the year
