Job Description:
Our Client is a highly visible pop singer based in Los Angeles and she is seeking a skilled and discreet Executive/Personal Assistant (EA/PA) to act as her right hand. This role requires an exceptional individual who can seamlessly manage both the professional and personal needs of a high-profile client. The successful candidate will be a proactive problem-solver with a keen eye for detail, capable of thriving in a fast-paced, dynamic environment where confidentiality and discretion are paramount. Extensive travel involved.
Key Responsibilities:

Calendar & Schedule Management: Coordinate and manage the client's schedule, including meetings, studio sessions, public appearances, and personal appointments. Ensure all engagements are well-organized and that the client is always on time and prepared.

Travel Coordination: Arrange all aspects of domestic and international travel, including private jets, accommodations, ground transportation, and itinerary planning. Ensure travel plans align with the client’s schedule and preferences, and manage any last-minute changes with ease.

Communication Management: Act as the primary point of contact for the client, handling phone calls, emails, and other forms of communication. Screen, prioritize, and respond to messages on behalf of the client, maintaining professionalism and confidentiality at all times.

Event Planning & Coordination: Assist in the planning and execution of personal and professional events, such as album release parties, charity events, and private gatherings. Manage guest lists, RSVPs, catering, and other logistical details to ensure successful events.

Personal Errands & Tasks: Handle a wide range of personal tasks, from shopping and gift purchasing to managing household needs and coordinating with domestic staff. Be prepared to address any ad hoc requests promptly and efficiently.

Document & File Management: Organize and maintain important documents, contracts, and files, ensuring everything is easily accessible and up to date. Assist with contract reviews, document signing, and liaising with legal representatives when necessary.

Financial Administration: Oversee and manage personal and professional expenses, including invoice processing, budgeting, and financial reporting. Coordinate with the client’s financial team to ensure accuracy and timeliness.

Crisis Management: Be available to address any urgent situations that arise, whether related to the client’s professional commitments or personal life. Provide solutions and take decisive action to resolve issues quickly and effectively.
Qualifications:

Experience: Minimum of 5 years of experience as an Executive or Personal Assistant, ideally within the entertainment industry or for high-profile clients. Experience working with A-list celebrities is highly desirable.

Skills: Exceptional organizational skills with the ability to multitask and prioritize effectively. Strong communication skills, both written and verbal, with a professional demeanor.

Technology: Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. Familiarity with project management tools and social media platforms is a plus.

Personality: Discreet, trustworthy, and highly adaptable with a calm, can-do attitude. Able to handle high-pressure situations and maintain composure in a fast-paced environment.

Flexibility: Willingness to work long hours, including evenings and weekends, and to travel extensively at short notice.

Location: Must be based in California, or willing to relocate. Must have a valid driver’s license and reliable transportation.
