A dynamic and high-achieving family seek to hire a Chief of Staff/House Manager/Executive Assistant to oversee their newly completed landmark historical property. The role requires managing all aspects of household operations, including travel coordination, property management, and staff oversight.
The family consists of a professional couple and their two daughters (ages 10 and 13). The kids are independent and don’t need oversight other than coordinating to ensure they are picked up and dropped off from school and extracurricular activities at the right times.
Responsibilities:
- Property Management:
- Oversee the daily operations of the family’s main residence, an additional project property in the DC area, and a generational property in the Virgin Islands (currently part of a rental program).
- Manage vendors, contractors, and service providers, ensuring deadlines and budgets are met.
- Maintain a detailed schedule for household maintenance and improvement projects.
- Serve as the point of contact for renters at the Virgin Islands property, addressing any needs or concerns.
- Travel Coordination:
- Plan and execute detailed travel itineraries for domestic and international trips.
- Research unique destinations and accommodations, leveraging services like Amex Centurion.
- Handle logistics for passports, visas, and any special requirements (e.g., hiring security personnel or lifeguards).
- Event Coordination:
- Plan and manage family events, including birthdays, anniversaries, political and social functions, and holiday celebrations.
- Coordinate gifting for friends, colleagues, and associates.
- Administrative Support:
- Create and maintain expense reports, budgets, and financial tracking spreadsheets.
- Oversee the children’s schedules, including school, extracurriculars, and appointments.
- Conduct research and manage unique requests, such as sourcing security personnel (e.g., Gavin de Becker) or liaising with Secret Service for events.
- Staff Oversight:
- Coordinate and manage housekeepers, maintenance staff, and other support personnel.
- Provide clear communication and leadership to ensure all staff adhere to high standards of professionalism.
Qualifications:
- Extensive experience in property and household management, preferably with high-profile families or individuals.
- Familiarity with working alongside political figures, Secret Service, or similar environments is a significant advantage.
- Strong organizational and multitasking skills, with the ability to anticipate needs and think outside the box.
- Proficiency in travel planning, budgeting, and expense reporting (Excel expertise required).
- Discretion, professionalism, and a respectful understanding of boundaries.
- A fun, engaging demeanor that aligns with the family’s youthful and approachable personality.
- Prior project management experience highly desirable - G/C license or Engineering background please apply.
