Executive Assistant with Personal Assistant Responsibilities

Location: Los Angeles (90272) & Dana Point, CA
Compensation: $120,000–$140,000 DOE + full benefits 100% coverage + year-end bonus
Schedule: Full-time, with the flexibility to work from home 1–2 days per week


About the Role

A dynamic and highly accomplished single mother is seeking an experienced Executive Assistant with strong Personal Assistant skills to manage both professional and personal priorities. This role requires exceptional organizational ability, discretion, and the capacity to thrive in a fast-paced, high-pressure environment. The ideal candidate will be proactive, resourceful, and experienced in supporting Ultra-High-Net-Worth (UHNW) individuals.

This position offers flexibility: working from home 1–2 days per week is encouraged when the principal is traveling or does not require in-person support.


Key Responsibilities

Executive Support

  • Serve as a trusted partner, attending meetings, taking detailed notes, and following up on action items.

  • Collaborate with international brands and legal teams on projects involving branding and licensing of the family name and image.

  • Provide strategic input, act as a sounding board, and process ideas with the principal.

  • Manage complex calendars and schedules for business and personal commitments.

  • Take ownership of tasks with confidence and independence.

Travel Coordination

  • Arrange domestic and international travel, including passports, visas, detailed itineraries, and logistics for the principal and children.

  • Coordinate with concierge services and travel teams for seamless execution.

  • Occasionally travel in advance to prepare accommodations and confirm arrangements.

Personal & Family Assistance

  • Manage school applications, medical appointments, and records for four children (elementary through college prep).

  • Assist with children’s schedules, activities, and travel arrangements.

  • Organize family celebrations, birthdays, and special events.

Household & Vendor Management

  • Oversee domestic staff, including housekeepers, across multiple properties.

  • Manage vendors, contractors, and service providers to ensure smooth household operations.

  • Assist with household events and gatherings with a keen eye for detail and discretion.


Ideal Candidate

  • Experience: 5–7+ years in a similar role supporting UHNW individuals.

  • Skills: Outstanding organizational and communication skills with the ability to anticipate needs and solve problems quickly.

  • Personality: Professional, warm, discreet, and emotionally intelligent with strong common sense.

  • Travel Savvy: Experienced in coordinating international and domestic travel for high-profile families.

  • Local Knowledge: Familiar with Los Angeles resources, including top restaurants, stylists, and vendors.

  • Additional: Paralegal experience is a plus but not required. Knowledge of UHNW lifestyle and security protocols is highly desirable.
